Of course you do! Here at Owl Practice, we take compliance and privacy very seriously. When we were building our practice management solution, we spoke with mental health professionals across the country to determine how best to provide them with effective levels of security and compliance.

As a result, digital compliance is built into every facet of Owl Practice. Here are some of the ways you can ensure that your practice stays compliant and secure with Owl!

Provincial Differences

As a Canadian practice management solution, we strive to work with mental health professionals in every province and territory in the country. It’s important to remember that local legislation around personal health information can vary from province to province. Different laws mean different security measures need to be taken, which makes it even more critical that Owl can provide practices with digital compliance across Canada.

To help you navigate different laws and guidelines, we’ve put together several articles for each Canadian province. Each article details relevant provincial legislation and outlines some of the ways Owl Practice can help you achieve compliance.

Canadian Servers

Did you know that as a country we keep an astonishing amount of personal information on servers far outside of Canadian borders? For example, if you have a Gmail account, do you have any idea where those servers are kept? Probably not. It’s out of your hands, and out of the country.

That’s one of the reasons why we only keep our clients’ data on our own Canadian servers. These servers are located in Montreal and Toronto and are thus protected by all Canadian privacy laws—including being personal health information (PHI) and college compliant. Everything is protected with bank-level encryption (SSL), so all data that moves between our servers and your devices is fully encrypted. No one will be able to intercept your data!

No Local Storage

To further safeguard your data, note that it is exclusively kept on those Canadian servers. When you log in to Owl Practice, none of that information is being stored locally on your devices. If the device you use to access Owl Practice were lost, your data would still be safe because it wouldn’t be on that device.

This is also a handy feature if you’re planning on crossing any borders. If border officials ask you to unlock your device so they can check it, none of your client data would be available to them as it wouldn’t be on the device.

Password Protection

Any reputable practice management solution offers excellent password protection to keep your personal data—and the personal data of your clients—safe. But for many mental health professionals, that isn’t enough.

Another way Owl Practice ensures security and compliance is by enabling you to password protect and encrypt any financial documents you send your clients from Owl via email. Even if a client’s email was hacked, those financial documents would remain secure and for their eyes only.

No Risk of Data Loss?

Your practice’s data is absolutely essential. Without it, you simply can’t do your job.

That’s why Owl Practice has safeguards in place to ensure that your data is continually backed up. Even if a catastrophic event caused complete data loss on one of our servers, everything is safely backed up on the other one. You never need to worry that your data is anything but 100% safe and secure in our hands!
