The Benefits of Client Portal Card Entry for Therapists and Clients

By Owl Team

For therapy practices, efficient and secure administrative processes are essential for a thriving practice. Managing payments is one such area where many therapists spend considerable time and effort. Enter client portal card entry — a secure, automated way for clients to enter and store their payment details through a digital platform. When incorporated into an Electronic Health Record (EHR) system, like Owl Practice, client portal card entry simplifies billing and enhances the client experience.

To dive more into the client’s side of Client Portal Card Entry we’ve interviewed a client who reached out to share their experience of how this feature improved their relationship with their provider.

This feature brings substantial benefits to both therapists and clients, improving cash flow, reducing administrative burdens, and offering a more seamless experience. Here’s an in-depth look at how client portal card entry can make a positive impact.

What is “Client Portal Card Entry”?

Client portal card entry is a feature in many EHR systems that allows clients to input and securely store their payment information directly through a client-facing portal. This stored information can then be used for future payments, eliminating the need for repeated manual entry.

Here’s how it works:

  • Secure Payment Entry: Clients enter their card details once through a secure client portal.
  • Storage for Future Use: These details are securely stored, allowing for quick, hassle-free payments after each session or on a set billing schedule.

“When I started seeing my therapist she shared with me that she was going to be using Owl Practice to keep all of our records in the system, but she also shared that there were some great benefits for me through something she called the client portal. She gave me access to this in one of our sessions and I was able to log in. Through using the client portal I had the chance to actually enter my credit card on file, she said I could enter a bank account as well but credit card just felt more convenient for me. And once I entered that on file it allowed her to take payments from me after session.” — Client of an Owl Practice Customer.

By simplifying and securing the payment process, client portal card entry takes a major administrative task off therapists’ plates and removes the burden from the client to have to remember to manually pay their provider, enabling a streamlined payment experience for all.

Benefits for Clients

1. Convenience and Ease of Use

For clients, client portal card entry offers unmatched convenience. Entering payment details only once simplifies the process, allowing clients to focus on their sessions without repeated interruptions for billing.

  • One-Time Setup: Clients only need to enter their payment details once, after which payments can be processed automatically.

2. Transparency and Control

Many client portals allow clients to view their payment history and manage their billing information directly, empowering them with transparency and control over their finances.

  • Easy Access to Billing Information: Clients can review past payments and upcoming charges whenever they choose.
  • Ability to Update Payment Information: Clients can update or change their payment method within the portal without needing to contact the therapist’s office.

3. Secure Payment Process

Data security is a top priority for clients when handling sensitive payment information. With EHR systems like Owl Practice, clients can feel confident that their information is handled with industry-standard encryption.

  • Encryption & Security: Payment information is stored securely, reducing the risk of breaches.
  • Peace of Mind: Knowing that personal financial information is protected offers clients reassurance.

Takeaway: Client portal card entry provides clients with a secure, transparent, and flexible way to manage their payments, enhancing their overall experience and satisfaction.

Benefits for Therapists

1. Reduced Administrative Burden

One of the greatest advantages of client portal card entry is its ability to significantly reduce therapists’ administrative workload. When clients securely store their payment information in the portal, there’s no need for therapists or their staff to manually enter, update, or track down payment details.

  • Automated Processing: Payments can be processed automatically, minimizing the time spent on billing.
  • Streamlined Operations: Less administrative effort allows therapists to spend more time on client care rather than office management.

2. Improved Cash Flow

Client portal card entry helps improve cash flow by facilitating prompt, consistent payments. Because clients’ payment details are securely stored and easily accessible, therapists can avoid delays or missed payments.

  • Faster Payments: Charges can be applied immediately following sessions or on a specified schedule.
  • Reduced Risk of Non-Payment: With stored payment information, therapists experience fewer instances of payment lapses or delays.

3. Enhanced Payment Security

Managing clients’ sensitive information is always a concern in healthcare. Using client portal card entry, therapists can ensure that payment data is handled securely, complying with industry standards.

  • Data Security Compliance: Systems like Owl Practice use encryption and other protective measures, reducing liability for therapists.
  • Lessened Therapist Responsibility: By relying on a secure platform, therapists reduce their personal responsibility for handling sensitive data, enhancing security for both the therapist and the client.

4. Better Client Engagement and Satisfaction

Administrative tasks can detract from the quality time therapists spend with clients. With a streamlined payment process, therapists can focus on delivering care, and clients appreciate the professionalism of a well-organized practice, time saved, and they won’t have to face the awkwardness of being asked to pay for services after a therapeutic moment.

  • Focus on Care: Less time discussing payments enhances the therapy experience.
  • Professionalism: Clients are more likely to feel that their therapist’s practice is organized and professional when payment processes are seamless.

Takeaway: By reducing administrative work, ensuring security, and improving cash flow, client portal card entry contributes to a smoother operation and a more professional environment, ultimately benefiting both therapists and clients.

A Client’s Experience with Client Portal Card Entry

A client of an Owl Practice customer has anonymously shared their personal experience of how much the Client Portal Card Entry feature meant to them and their relationship with their provider:

What I really loved about this [Client Portal Card Entry] was that previously I had to remember after each session to e-transfer my therapist because I am a fully remote client, so remembering to actually transfer to her after a session put a lot of stress on me as silly as it might sound.

After each session I usually was decompressing from the treatment we had done and not in the headspace to go into my banking app and make a transfer at that time and I found that on the days afterwards I would often forget completely that I had to send this payment to my practitioner, which honestly caused me a lot of anxiety. I constantly worried about feeling like I was a bad client and thinking that my therapist was angry and frustrated with me for forgetting to send payment to her which added a lot of extra stress to my life for something that was supposed to be helping me fight stress and anxiety, and so I found that really challenging.

It also led to my therapist tending to have to send me reminders for payment when I hadn’t paid after several days, which again gave me a whole new wave of stress and anxiety and I really feel like for me it had an impact on our therapeutic relationship because instead of having a relationship with my provider it really focused it on payment. It put a level of anxiety and feeling that they didn’t like me that shouldn’t really be present when you’re working with a therapist.

So, when my therapist explained that they could just take the payment from me after the session and just send me a receipt to just submit to my insurance company — it was fantastic and I never had to think about submitting a payment again. I just went to my sessions, left my sessions and then on my time whenever I felt ready, I could submit my receipts to my insurance company to have them reimburse me for my sessions. This was so wonderful for me.

It lessened my stress levels, and gave me a much better relationship with this therapist because I didn’t have to think about it as a transactional relationship. I instead worked with this person, worked on this treatment, worked on myself, and the payment was just taken care of which took so much stress off of me. And again, I realize it sounds kind of silly to have this much stress about payment but when you’re constantly forgetting and you have a lot on your mind it can be overwhelming. The benefit of not having that was so huge to me, I didn’t realize what I was missing.

How Client Portal Card Entry Improves the Overall Client Experience

Implementing client portal card entry can enhance the client experience beyond simple payment processing. Here’s how this feature promotes engagement and satisfaction:

  • Enhanced Trust: With secure, efficient processes in place, clients trust that their therapist values both their time and privacy.
  • Increased Portal Engagement: When clients interact with the portal to manage payments, they may be more likely to use other portal features, such as scheduling, tracking progress, and accessing shared documents.

Takeaway: By removing obstacles and enhancing security, client portal card entry fosters trust, professionalism, and engagement—all critical components of a positive therapeutic relationship.
